1. Introduction
WeavHR Limited (‘WeavHR’, ‘we’, ‘us’, or ‘our’) is committed to protecting your privacy. This policy explains what personal information we collect, how we use it, and your rights under the New Zealand Privacy Act 2020 and Privacy Amendment Act 2025.
‘Personal information’ means any information that can identify you or that could reasonably be used to identify you — for example, your name, email address, or IP address.

2. What Information We Collect
2.1 Information you give us
When you use the Service, you may provide:
- Your name, email address, job title, and contact details when you register or update your account;
- Your organisation's name and details;
- HR data that you or your employer inputs into the WeavHR application (for example, employee records, payroll information, or performance data);
- Communications you send us, including support requests and feedback.
2.2 Information collected automatically
When you visit our website or use the application, we automatically collect:
- Technical data — your IP address, browser type, device type, operating system, and screen resolution;
- Usage data — pages you visit, features you use, time spent on pages, and links you click;
- Log data — server logs that record access to our systems.

2.3 Information from third parties
We may receive information about you from third-party services that you connect to WeavHR (for example, payroll or calendar integrations). Where we collect information from third parties, we will tell you who we collected it from, in line with the Privacy Amendment Act 2025.
3. How We Use Your Information
We use your personal information to:
- Provide and improve the WeavHR Service;
- Create and manage your account;
- Communicate with you about the Service, including sending important notices and updates;
- Respond to your support requests;
- Process any payments;
- Keep the Service secure and investigate suspicious activity;
- Meet our legal obligations;
- Understand how people use the Service so we can make it better.
We will only use your information for the purposes described in this policy, or for any other purpose we tell you about at the time we collect it.
4. Sharing Your Information
We do not sell your personal information. We may share it with:
4.1 Service providers
Trusted third parties who help us run the Service — such as cloud hosting providers, analytics tools, and customer support software. These providers are only permitted to process your information as necessary to provide services to us, and must keep it secure.
4.2 Your organisation
If you access WeavHR through your employer’s account, your employer (as the account holder) may have access to information you enter into the system. This is consistent with the purpose for which the Service is provided.
4.3 Legal requirements
We may disclose your information where required to do so by law, a court order, or at the request of a government authority, or where we believe disclosure is necessary to protect the rights, property, or safety of WeavHR, our users, or others.
4.4 Business transfers
If WeavHR is involved in a merger, acquisition, or sale of all or part of its assets, your personal information may be transferred as part of that transaction. We will notify you before this happens.
4.5 International transfers
Some of our service providers are based outside New Zealand. If we transfer your information overseas, we will take steps to ensure it receives comparable privacy protections, consistent with Schedule 8 of the Privacy Act 2020.
5. Storing Your Information
Your information is stored on secure servers, which may be located in New Zealand or overseas (see Section 4.5).
We keep your personal information only as long as we need it for the purposes described in this policy, or as required by law. When we no longer need it, we will delete or de-identify it securely.
If you close your account, we will delete your personal data within 90 days, except where we are required to keep it longer by law.
6. Security
We take reasonable steps to protect your personal information from loss, unauthorised access, disclosure, or misuse. These steps include:
- Encrypting data in transit and at rest;
- Using multi-factor authentication for account access;
- Conducting regular security assessments;
- Limiting access to personal information to staff and contractors who need it.
If a privacy breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner as required by the Privacy Act 2020.
7. Your Rights
Under the Privacy Act 2020, you have the right to:
- Ask us to confirm whether we hold personal information about you;
- Request a copy of the personal information we hold about you;
- Ask us to correct any inaccurate or incomplete information;
- Ask us to delete your information (in certain circumstances);
- Complain to the Office of the Privacy Commissioner if you think we have not handled your information properly.

8. Children
The Service is not intended for use by people under 18. We do not knowingly collect personal information from anyone under 18. If you believe we have done so, please contact us and we will delete that information promptly.
9. Links to Other Websites
Our website may contain links to third-party sites. We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before providing any personal information.
10. Changes to This Policy
We may update this policy from time to time. If we make a significant change, we will tell you by email or by a prominent notice on our website. The date at the bottom of this page shows when the policy was last updated.
